Tags
Tags are useful to highlight, organize, and find artifacts of specific interest. Any tag can be used as a filter to quickly find artifacts that have a tag. You can use the preset tags or create your own tags.
If there is a tag that you use in more than one case, save it as a favorite tag. That will make it available to use in all the cases you open.
Some tags are extended tags. If an extended tag is applied to an artifact, the tag will also be applied to any child artifacts. The icon for extended tags is arrow-shaped.
Example: You apply the 'Sensitive' extended tag to an email. The 'Sensitive' tag is automatically also applied to the picture attached in that email.
Note: A child artifact that is tagged through its parent cannot be untagged directly. Untag the parent artifact to remove the tag from the child artifact.
Procedures
Create a new tag
- In the ribbon, click Tags and select Edit tags....
- In the Tags dialog box, click New....
- Select a Color for the tag.
- Enter a Name for the tag.
- If you want the tag to be available for all new cases, select the Save favorite tag check box. A keyboard shortcut is automatically assigned, and can be manually adjusted. See Edit keyboard shortcuts for more information.

If you want the child artifacts to be tagged when you tag a parent artifact, select the Extend tagging to child artifacts check box. Note that this setting cannot be changed once the tag has been created.
- Click Save.
Edit a tag
- In the ribbon, click Tags and select Edit tags....
- Select the tag to edit.
- Click Edit....
The built-in tags, Important, Unimportant, and Sensitive, are not possible to edit. - Select a color for the tag.
- In the Name text box, enter a name for the tag.
- In the keyboard shortcut list, select a number.
- Click Save.
Delete a tag
Warning: If you delete a tag, the tag will be removed from all artifacts.
- In the ribbon, click Tags and select Edit tags....
- Select the tag to delete and click Delete.
- Click Yes to the confirmation question.
There are many different ways of tagging artifacts. Select what works best for you.
Note: If you choose to create a new tag instead of selecting an existing tag, the new tag will be applied to the selected artifacts.
Quick tagging
Quick tagging works in the List, Column, and Gallery views, as well as in the thread and attachment sections of the Conversations and Connection views. To set tags with Quick tagging in the Artifacts pane, do the following:
- To tag an artifact as "Important", click the upper left corner of the artifact.
- To tag an artifact as "Unimportant", click the upper left corner of the artifact one more time.
- To remove the "Unimportant" tag, click the upper left corner of the artifact one more time.
- In the List and Column views, it's also possible to right-click the upper left corner of an artifact and select a specific tag.

- In the Artifacts pane, select the artifacts to tag.
- Right-click one of the artifacts, select Choose tag and then select a tag.

- In the Artifacts pane, select the artifacts to tag.
- In the ribbon, click Tags and select the tag to apply.

- Hover the white space below the Found in information, right-click the tag icon and select the tag to apply.
Save a favorite tag
- Create a new tag, as described above.
- Click on the Save favorite tag button
. The favorite tag is saved and available for all new cases. A keyboard shortcut is automatically assigned, and can be manually adjusted. See Edit keyboard shortcuts for more information.
Tip: Quickly tag one or multiple artifacts using the specific keyboard shortcuts. This works in all views, except for the Connections view. The keyboard shortcuts are added by clicking the Save favorite tag button
.
Import favorite tags
- In the ribbon, click Tags and select Edit tags....
- In the Tags dialog, click Import....
- Browse to the tag file to be imported and click Open.
Export favorite tags
- In the ribbon, click Tags and select Edit tags....
- Ensure that the tags to export are set as favorite tags, marked with
. Only favorite tags can be exported. - Click Export....
- Select the tags to export and click Export.
- Browse to the export folder and click Select folder.
- Click OK.
